Cedars-Sinai CME Events: Health and Safety Protocol

As you know, the health and safety of our community are always our top priorities at Cedars-Sinai. We continue to monitor US Centers for Disease Control and Prevention (CDC) and Los Angeles County Guidelines for mass gatherings and will make updates accordingly. Participants in any event should be thoughtful about their individual risks and consider avoiding public gatherings if they are of higher risk.

Below are the current in-person Cedars-Sinai CME Event Protocols:

  • On-Campus and Off-Campus Events Vaccination Status: All attendees must be fully vaccinated and provide proof of vaccination.
  • Masks: Masks are to be worn during events, regardless of vaccination status, with the following exceptions:
    • For event faculty/presenters when actively giving talk/presenting
    • For event attendees when actively eating
  • Capacities: There is limited registration capacity for in-person events. No onsite registrations will be accepted. Please register early to secure your spot.
  • Check-in Process: There will be assigned check-in times based on participant last names. We ask in-person attendees to be mindful of their assigned time that will be communicated in our reminder emails leading up to the event.
  • Wellness Checks: Our staff will ask attendees about their wellness to attend the event upon check-in or attendees will need to go through on-campus screening, depending on location of event.
  • Cancellation: We ask that any attendees who are not feeling well or exhibiting any symptoms of the coronavirus refrain from attending in-person events. We have relaxed our refund policy and will issue refunds up until five days after an event to the original payment method. Refund requests need to be submitted in writing to [email protected]
  • Food: If an event includes mealtimes, agendas will be adjusted to allow for meal pick-up in small groups.  Food will be provided in either individual portions/boxed or via server staffed buffets. Meal functions for on-campus events must be in an outdoor space
  • Exhibits: For events allowing exhibitors, exhibit tables will be limited and spaced according to physical distancing guidelines.
  • Traveling to an Event: Attendees should follow relevant guidance provided by the Center for Disease Control (CDC), World Health Organization (WHO) and LA County Department of Health or the local regulations at the event location. In addition, attendees should adhere to any government issued travel restrictions and guidance issued by the region you will be travelling to and the region you are travelling from.  Current Cedars-Sinai travel guidelines, as of 7/7/2021, are listed below:
    • If you are fully vaccinated:
      • Domestic travel: Travel without testing or quarantine is permitted.
      • International travel: Only essential international business travel is acceptable. Fully vaccinated individuals who are approved for essential international business travel are required to take one COVID-19 test before returning/entering the United States and a second test 3-5 days after their arrival. Please be sure to keep a record of your first test (administered before return/arrival).
    • If you are not fully vaccinated:
      • Domestic travel: All nonessential travel should be deferred until you are fully vaccinated. For business purposes, domestic travel is not permissible.
      • International travel: International travel for business purposes is not allowed.
  • After the Event: We ask that in-person attendees notify us at [email protected] if they test positive for COVID-19 within a few days of an attended event. We will notify participants of a potential exposure should this happen.
  • Right of Refusal: Cedars-Sinai Office of CME reserves the right to refuse entry to anyone who does not meet our screening criteria or who refuse to comply with documented policies, such as mask wearing and physical distancing.

Resources for Cedars-Sinai Faculty and CME Planners

Have you moved your current Regularly Scheduled Series (i.e. Grand Rounds, Case Conference, Tumor Board) to Webex or another online platform. Below are some helpful tools as you transition/offer your education to a online platform for live sessions:

CME Disclosure and Text Attendance Slide for WebEx/Web Based Conferencing (Need to be updated and provided to learners during Webex)

Webex Etiquette Developed by EIS and PI (Helpful to send to participants before a meeting)

Conference Services Meeting Room-Webex Guide (Guide on Meeting Room Set-up and Using Webex)

Getting Started with Cisco Webex for Hosts (Link to Webex Getting Started Info)

If you are offering your series via Webex, please do the following:

1. Update the CME Disclosure and Text Attendance Slide for your specific meeting with the name, disclosure information, text code and your email address

2. Display these slides to your participants at the start of your Webex

  • The text attendance is the only way to confirm participation and claim credit
  • If there are attendance errors or text issues, ensure they contact you to assist with resolving
  • In addition, we strongly encourage you to show the slides at the start and end of the session
  • You can also post the text attendance information in the chat box on Webex during the meeting

3. Continue to complete a flyer for each session.

4. Save all info (flyer, Webex slides, disclosures, etc) in your box.com folders for each session.
